Use Case 1: Staff Assignment for Engagements

The HR Manager saves all the important information in an offline file, which can be in Excel or another document file. The source file keeps the employee (employee number) and a reference to the Engagement business object.
An engagement can be:

  • a customer order,

  • an internal order.

The HR Manager can now upload all the staffing information and allocate the adequate staff to the engagements. Therefore the Create Staff Assignment enterprise service operation is triggered.

Use Case 2: Staff Assignment with external Resource Management Systems

The following scenario will show how the staff assignment to different engagements can be organized by a thrid-party Resource Management application, but still be documented in the SAP ERP System.

Data such as personal master data and skills of the employees, is stored in the SAP ERP system. Through the integration with a third-party Resource Management system, the responsible project manager or HR manager can search for staff from the third-party Resource Management system. The Find Employee by Elements enterprise service operation can be triggered when the responsible manager hits the search button, and the service will return a list with the matching employees.

The third-party Resource Management application orchestrates the allocation of the employees to the engagement. The Release Staff Assignment Item enterprise service operation reserves an employee to an assignment until the HR Manager or Project Manager gets the final reassurance.

Once the responsible manager gets the approval, he triggers the Create Staff Assignment enterprise service operation to update the staff assignment.

The engagement client calls and notifies the responsible manager that the engagement will be delayed by ten days for some unplanned event. The manager updates the Staff Assignment with this new information in the external Resource Management system, which does an update to the new date in SAP using the Change Staff Assignment enterprise service operation.

Due to changes, the engagement manager decides that the employee needs to be replaced by someone else. Therefore the manager cancels the assignment using the Cancel Staff Assignment enterprise service operation.

Use Case 3: Forecasting

The Forecasting solution allows real-time check of current or future project status or customer engagements. It is possible to perform those check-ups anywhere, at anytime, via different devices, including handhelds. The following use case will illustrate this scenario.

First of all, the handheld of the employee (or any other device) is registering itself at the system using the Find Forecast by Employee enterprise service operation.

The employee wants to receive an update about his current and future assignments to client (or internal) engagements. Therefore he reviews the employee forecast. The Read Staff Assignment Time Planning Sheet enterprise service operation, which uses the Staff Assignment Time Planning Sheet business object, is triggered when the employee hits the view button, and the service returns a list, including all data pertinent to the engagements of the particular employee, such as its name, ID number, customer, time and date.

Once the employee finishes an engagement earlier than planned or gets another engagement, he updates the forecast with the new information. The Change Staff Assignment Time Planning Sheet enterprise service operation is triggered and the employee can update the Time Planning Sheet with the new information.
