Purpose

The purpose of this page is to clarify the option to Add Learning Activity by Competency that is available from both the Career Development Plan and from the Career Worksheet. 

Overview

The Career Development Plan and the Career Worksheet allow users to add Learning Activities from LMS (if the CDP-LMS integration "Transcript" is configured) either by choosing "Find in Catalog" or by choosing "Search by Competency". 

The "Find in Catalog" option opens the user's regular LMS catalog and allows users to add Learning Activities from there.

The "Search by Competency" option, on the other hand, only displays the Learning Items from the LMS catalog that are associated to the Competencies that the user is interested in improving. The sections below discuss how this works for the Career Development Plan and for the Career Worksheet in more detail. 

Career Development Plan

In the Career Development Plan, the Add Learning Activity > Search by Competency will be displayed in the Development Goals if the "competencies" field is defined and if there are competencies associated to the Development Goal. 

By default, if the competencies field is configured, users will be able to choose from a list of competencies associated to their Job Role and from Performance Forms, but it is also possible to customize what competencies appear in that list. For more information, please refer to  2259810 - Competency filters in Career Development Planning.

When selecting the option "Add Learning Activity > Search by Competency", the system will display a dialog with the competencies from the Development Goal that you used to add the Learning Activity and, for each of the competencies, a list of the Learning Items associated to that competency. 

Current and Expected Rating

When adding a Learning Activity by Competency, the system will display the user's current rating and the expected rating for each of the Competencies to guide the user on how much they need to work on each of them. When adding it via the Career Development Plan, the system will consider the expected rating from the user's current role. The Current Rating will be the user's rating of record for that competency, which could have been recorded via a Competency Assessment Performance Form, for example. 

Since the system will consider the expected rating from the user's current role, it's important to ensure that the user's role has competencies associated and that those competencies have expected ratings.

Rating Scales

By default, the Search by Competency feature works with a 1 - 5 rating scale. If the competency has already been rated, the system will identify the rating scale used for the rating and convert the expected rating to that rating scale (the one used when giving the rating).

If a competency has not yet been rated, the system can't identify what will be the target rating scale. So, by default, it shows the expected rating using a 1 - 5 rating scale. Customers not using a 1 - 5 rating scale may choose to not display the expected rating if the competency has not yet been rated to avoid confusing end users. To do so, a new element needs to be configured in the Learning Activities template:

Changes to Learning Activities template

Changes to the Learning Activity template are applied directly in the XML code of the template, which is only available in provisioning. For this change, you may contact Cloud Product Support to go through a Software Change Process. Example

User: Carla Grant

User's current role: Administrative Assistant

In the Development Goal, three competencies from the Administrative Assistant Job Role were selected: Communication, Productivity and Project Management. 

 

When clicking on Add Learning Activity > Search by Competency, the LMS dialog will bring up the Learning Items related to those three competencies: 

 

The competency "Communication" has an expected rating of 60% for this Job Role. Considering a 1-5 rating scale, it displays with an expected rating of 3.4 in the LMS Search by Competency dialog: 

Career Worksheet

In the Career Worksheet, users can select Job Roles that they are interested in and keep track of the effort required to move into a future role. After the users select a Job Role, they can add Learning Activities to help them meet the competencies required for the selected Job Role. Here, users have the same two options: "Find in Catalog" and "Search by Competency". The "Search by Competency" option will only appear if the role that the user selected has associated competencies. 

Therefore, when selecting the option "Add Learning Activity > Search by Competency", the system will display the LMS dialog with the competencies from the Job Role you have selected and a list of Learning Items associated to each of these competencies. 

Current and Expected Rating

When adding a Learning Activity by Competency via the Career Worksheet, the system considers the expected rating from the Job Role that the user selected in the Career Worksheet, and not from the user's own Job Role. The current rating will follow the same behavior as in the Career Development Plan, which is that the latest rating of record for the competency will be displayed, which could have been recorded via a Competency Assessment form, for example. 

Example

User: Carla Grant

User's current role: Administrative Assistant

User's Targeted Role (in Career Worksheet): Analyst, Human Resources

In this case, Carla Grant selected the Job Role "Analyst, Human Resources" as a possible future role in the Career Worksheet. This role has three (3) associated competencies: Communication, Interpersonal Skills and Problem Solving/Analysis.

 

When clicking on Add Learning Activity > Search by Competency, the LMS dialog will bring up the Learning Items related to those three competencies, from the selected Job Role and not from the user's current role: 

 

For the selected Job Role, the competency "Communication" has an expected rating of 50%. Considering a 1-5 rating scale, it displays with an expected rating of 3.0 in the LMS Search by Competency dialog. Note that this is the same competency that is associated to the user's current role, but it has a different expected rating in this case because different Job Roles may require different levels of proficiency. 

 

"View only Items/Programs that help me close competency gaps" in Search by Competency dialog

By default, the Search by Competency dialog will open with the  "View only Items/Programs that help me close competency gaps" checkbox enabled. With this checkbox enabled, the system will only display the Learning Items that will provide the users with an equal or higher rating than the one that the user currently has.

For example, if the customer has a rating of 3.0 for "Customer Focus" competency, any Learning Items that have a "Rating Provided" below 3.0 will not be displayed.

To see all the Learning Items, regardless of the rating provided, the user can disable the checkbox and then the system will display all Learning Items that are associated with the given competencies.
