Purpose

To explain the different ways an Alternative Supervisor can be added to a User in the SAP SuccessFactors Learning Management System (LMS)

Overview

Administrators and Supervisors are able to manage a User's Alternate Supervisor(s).  This WIKI will explain what workflows are needed and where to find the option to add an Alternate Supervisor.

When users report to an alternative supervisor for an extended period of time, you can transfer some responsibility to the alternate supervisor.

A common example is when employees work on a project where they report to a project manager for the time of the project but their primary manager remains their supervisor in the Supervisor field.

An Alternate Supervisor:

  • Performs all supervisor duties for the User(s) they are assigned to
  • Receives all supervisor emails related to the User(s) they are assigned to

Learning Supervisor oversees the training of its employees.  Typically they are responsible for assigning courses or approving requests to attend courses.  For more information regarding Supervisor duties, please refer to the Product Documentation (https://[YourInstanceName].plateau.com/help/help_all/en).

How to Assign an Alternate Supervisor

A Supervisor or Administrator can assign an Alternate Supervisor to a User if their role(s) allow it (see below for Workflows required to be able to manage Alternate Supervisors for users).

Note: If a User has the ability to Proxy a Supervisor or is a Delegate of a Supervisor, they can also add an Alternate User to that Supervisor's subordinates when they proxy or act as the Delegate for that Supervisor user.

Admin User:

  1. Login as an Admin
  2. Navigate to System Admin > Users
  3. Find the User that will have an Alternate Supervisor Added
  4. Open the User record
  5. On the right side, click "Manage Alternate Supervisor" link in the Actions section
  6. Search for the User to be added as an Alternate Supervisor
  7. Once the User is selected, he/she is added as the User's Alternate Supervisor
  8. Click "Save" to save the changes

Supervisor User:

  1. Users that are Supervisors of other Users will have a "My Employees" tab on their Learning landing page
  2. Login as a Supervisor
  3. Click on the "My Employees" tab at the top of the Learning home page
  4. Click the 3 vertical dot menu next to the User that will have the alternate supervisor assigned
  5. Click "Manage Alternate Supervisor"
  6. Search for the alternate supervisor user and click "Select"
  7. Click "Save" to save the changes

Workflows Required to Manage Alternate Supervisors

Admin User:

  1. Login as an Admin
  2. Navigate to System Admin > Security > Role Management
  3. Search for and select the Role the Supervisor User(s) belong to
  4. Click the Workflows tab on the left
  5. Expand "User Management"
  6. Look for "Edit User" (it may be easier to use the browser's search functionality - Ctrl F)
  7. If it is not there, click "add one or more from list" under "Edit the Role" "Add a Workflow to the Role" section
  8. Expand "User Management" and check the "Add" check box next to "Edit User"
  9. Click the Add button to add the workflow to the Admin User's role

Supervisor User:

  1. Login as Admin User
  2. Navigate to System Admin > Security > Role Management
  3. Search for and select the Role the Supervisor User(s) belong to
  4. Click the Workflows tab on the left
  5. Expand "My Employees"
  6. If "Manage Alternate Supervisors" is not listed, click "add one or more from list" hyperlink under "Edit the Role" "Add a Workflow to the Role" section
  7. From there, expand "My Employees" and click the check box next to "Manage Alternate Supervisors" then "Add"
