Purpose

The purpose of this page is to explain how to configure the Key/Critical Position indicator for Legacy and MDF Positions, as well as explain how to highlight those Key/Critical Positions in the Succession Org Chart. 

Overview

When you have a Position-based Nomination Method, it is possible to configure a Key/Critical Position indicator for your positions, so you can focus your Succession Planning on the critical positions. Once you have configured this indicator, you can configure the Succession Org Chart to display it on the Position Node and to Highlight Key Positions. 

Note: This Key/Critical Position indicator is stored in the Position object, along with the Position Data, and it is different from the "keyPosition" field, which is configured in the Succession Data Model and related to the employee (considered as Employee Data). 

Key/Critical Positions Indicator

This section describes how to configure the Key/Critical Positions Indicator for Legacy Positions and MDF Positions.

Legacy Positions

For Legacy Positions, you can decide whether to use a boolean (Yes/No) indicator or to specify a Rating Scale for the Key Position indicator. If you wish to use a Rating Scale, you will need to have one created on Admin Center > Rating Scales. 

To enable the Key/Critical Positions Indicator, follow the below steps: 

  1. Go to Admin Center > Succession > Position Management: Position Set Up.
  2. For "Use key/critical position indicator", choose one of the options: 
    1. "Yes, boolean (yes/no)".
    2. "Yes, with rating scale". In case you select this option, also select the rating scale you with to use.
  3. Save Settings.

For the option "Yes, with rating scale", the scale options you will see in the dropdown is created/configured via Admin Center > Performance Management > Rating Scales

After completing the above steps, you should be able to edit the positions via the UI or Import and input the Position Criticality indicator. 

MDF Positions

For MDF Positions, the Position Criticality indicator is a MDF Picklist field and it can have 2 or more options. To configure this, you will need to (1) Create the Position Criticality picklist and to (2) Associate the picklist to the Position object. To configure the indicator, follow the below steps: 

Create/Modify the PositionCriticality picklist

  1. Go to Admin Center >  Company Settings > Picklist Center. Search for PositionCriticality
  2. In the first dropdown, select "Picklist" > in the second dropdown, select "PositionCriticality". If you don't have a "PositionCriticality" picklist, then use the "Create New" dropdown and select "Picklist" to create a new one. 
    1. Code: As a best practice, it should be "PositionCriticality".
    2. Status: Active.
    3. Effective Start Date: As a best practice, it should be 01/01/1990 to make sure there are no conflicts related to the effective start date of positions and of the picklist. 
  3. If you already had this picklist, open it and click edit.

  4. Typically, the following options are pre-configured, but you can configure the options that better suit your company. 

    External CodeLabel
    0Non Critical
    1Critical

    Note: The External Codes should be numeric values (otherwise you'll receive an error in the Position Tile) and, as a best practice, should start with 0 (zero). 

  5. Hit Save. 


Associate the picklist to the Position object

  1. Go to Admin Center > Configure Object Definitions. 
  2. In the first dropdown, select "Object Definition" > In the second dropdown, select "Position". 
  3. Click "Take Action" > "Make Correction".
  4. Look for the "positionCriticality" field > click "Details".
  5. For "Valid Values Source", make sure that the value is "PositionCriticality" (the same as the code of the picklist you created).
  6. Make sure that the field is "Active" (Status) and "Editable" (Visibility).
  7. Click "Done" > Save. 

After completing the above steps, you should be able to edit the positions via the UI or Import and input the Position Criticality indicator. 

Configure the Succession Org Chart

Once you have configured the Key/Critical Position indicator, you can configure the Succession Org Chart to highlight the key/critical positions. For this, you have two options: (1) configure it so the Succession Org Chart simply highlights key positions (or rather dims out non-key positions) or (2) configure it with multiple levels, so the Succession Org Chart outlines each position node with the color corresponding to the criticality rating of the position. If you are using a boolean indicator, you should use the first option. If you are using a rating scale, it's preferred to use the second option, but the first one should work as well. 

Boolean Indicator

In the Succession Org Chart XML in provisioning (Provisioning > select company > select "Edit Org Chart Configuration"), configure the following XML code:

Rating Scale/Picklist Indicator

In the Succession Org Chart XML in provisioning (Provisioning > select company > select "Edit Org Chart Configuration"), configure the following XML code:

    </keyposition>
  </keypositionset>
</keyPositionOption>

In the above XML code, each "keyposition" tag will correspond to one option you have in the rating scale or in the picklist. Within each "keyposition" tag:

  • "label": should correspond to the label of the criticality option.
  • "value": should correspond to the score (legacy positions, rating scale) or external code (MDF Posiitons, MDF picklist) of the criticality option.
  • "index": not used by this configuration (even though the "index" tag usually corresponds to the color, this is not used because the colors are hard-coded for the Highlight Key Posiitons feature). 

Highlighting Key Positions

After configuring the Key/Critical Position indicator and configuring the Succession Org Chart to use this indicator, you can Highlight Key/Critical Positions.

Boolean Indicator

Go to Succession Org Chart > Display Options > Other > enable "Highlight key positions" > key positions will be highlighted (or, rather, non-key positions will be dimmed out). 

Rating Scale/Picklist Indicator

Go to Succession Org Chart > Display Options > Other > select the criticality levels you with to highlight > the positions with the selected criticality levels will be outlined in the corresponding color and the other positions will be dimmed out. 

Key/Critical Position Icon

With this Key/Critical Position configuration in the Succession Org Chart XML, a Key/Critical Position Icon will start appearing for positions marked as critical. In the case of the Rating Scale/Picklist configuration, the key icon will appear for positions marked with all the levels that were included in the Succession Org Chart XML configuration. For example, if you include a level "0 - Non Critical Positions" in the XML configuration, those positions will also appear with the Key Icon.
