Purpose

The purpose of this page is to explain the options available around adding external candidates from Recruiting module as successors. 

Overview

The Succession Org Chart allows you to add external candidates from Recruiting module as successors to positions/incumbents. It also allows Recruiters to create candidates from within the Succession Org Chart and then add the newly created candidates to the successors list. 

Pre-requisites

  • Recruiting module needs to be enabled and configured. 
  • Succession Planner has the required Recruiting permissions (to search on external candidates).

How to enable the feature?

  1. Go to Admin Center > Succession > Nominations Set Up.
  2. Enable checkbox "Allow succession planners with recruiting candidate search permissions to nominate external candidates".
  3. Save it. 

Adding External Candidates as Successors

It is possible to search the existing candidates from Recruiting and add them as a successor in the Succession Org Chart. To do so, you can follow the below steps: 

v11 Succession Org Chart

  1. Go to the Succession Org Chart > search for a position / incumbent. 
  2. Click on "Find Successor" > expand the "Find external candidate" section > search for the candidate.
  3. Select the external candidate and follow the normal nomination workflow (select readiness, ranking and note > save). 

v12 Succession Org Chart

  1. Go to the Succession Org Chart > search for a position / incumbent. 
  2. Click on the position to open the Position Card > expand the "Named Successors" section > click "Add Successor".
  3. Select "External Candidates" > search for the existing candidate.
  4. Select the external candidate and follow the normal nomination workflow (select readiness, ranking and note > save). 

Create External Candidate from the Succession Org Chart

If the succession planner knows an external person who would fit well as successor to the position, but that external person is not yet officially a candidate, then the succession planner can create a new candidate profile for that person from the Succession Org Chart, without having to navigate to the Recruiting module. Immediately after creating the new candidate, this external person can be added into the succession plan and is visible to all succession planners and managers who have access to this position.Both v11 and v12 Succession Org Charts support this feature. The candidate will then be available in the Recruiting Module as well. 

Pre-requisite: The Succession Planner user needs to have access to create candidates in the Recruiting module. 

v11 Succession Org Chart

  1. Go to the Succession Org Chart > search for a position / incumbent. 
  2. Click on "Find Successor" > expand the "Find external candidate" section > click on "Add a new External Candidate".
  3. Fill the required information and save the new external candidate. 
  4. Complete the nomination process as usual. 

v12 Succession Org Chart

  1. Go to the Succession Org Chart > search for a position / incumbent. 
  2. Click on the position to open the Position Card > expand the "Named Successors" section > click "Add Successor".
  3. Select "External Candidates" > click "Create Candidate".
  4. Fill the required information > click on "Create Profile".
  5. Complete the nomination process as usual. 

Special Remarks

  • As of b1802, a notification email is sent to the newly added External Candidate when the candidate is created from the Succession Org Chart, if the required Recruiting settings are configured to trigger this email (Recruiting Email Triggers). 
  • Nominations of external candidates participating in the Nomination Approval Workflow (i.e. that are in a "Pending" status) will not be included in the Pending Nominations notification email.
